Registration policy

Payment terms
Registration fees are due at the time of registration. Prices quoted exclude applicable taxes which are added at the current rate.

Substitutions
It is possible to transfer your registration to another individual. Requests must be submitted in writing 24 hours before the start of the event [February 10, 2027], by emailing your name, and the name and full contact information of the new attendee, to events@renewablesassociation.ca. Substitutions will NOT be accepted onsite.

Cancellation and refund policy
All requests for refunds must be submitted to Alana Ingraham, CanREA’s Events Administrator, at: events@renewablesassociation.ca

• Registration fees are not transferable to any other CanREA event.
• Cancellation requests received three (3) weeks before the start of the event [February 10, 2027] will receive a full refund, less a $25 administrative fee per person.
• No refunds will be made for cancellations received on or after Thursday, January 21, 2027, or for no-shows.

CanREA's Right to Modify / Cancel Conference Event

CanREA reserves the right, at its sole discretion, to modify, postpone, or cancel the event or any part of its program at any time without prior notice to Participants. Such changes may occur due to insufficient registration, circumstances beyond CanREA’s reasonable control (including, but not limited to, Force Majeure events), or other reasons deemed necessary by CanREA.

In the event of cancellation or postponement, CanREA’s sole obligation shall be to provide exhibitors, sponsors and attendees with a credit equal to the amount of fees paid, which may be applied to a rescheduled event. If the event is not rescheduled with twelve (12) months of the original date, CanREA will issue a full refund of the prepaid fees. Except as expressly stated herein, no other refunds will be issued, and all Participants expressly waive any claims for damages, whether direct, indirect, incidental, or consequential, against CanREA arising from such modification, postponement, or cancellation.

CanREA shall not be liable for any costs, expenses, or losses incurred by Participants, including but not limited to cancellation charges imposed by hotels, airlines, or travel agencies, or any other related expenses.

Consent to Use Personal Information and Images

Delegate Personal Information
Registered participants are deemed to consent to being contacted about this event and future CanREA events as per CASL regulations. On occasion, CanREA will share participants contact information with our top-tier sponsors. Participants can opt out of being included on the attendee list shared with our sponsors during the registration process.

For the Operators Summit, participants can see who is attending and communicate with each other via the event app. Delegates consenting to having their conference badge scanned at an exhibitor’s booth are deemed to consent to the sharing of their contact information (name, title, organization, business address and business email) with that exhibitor for the purpose of being contacted for marketing purposes. Any person that does not wish to share their personal information with exhibitors should not present their badge for scanning. Participants can opt out of being included in the attendee list during the registration process.

Images in Photographs and Videos
By attending CanREA events, participants acknowledge and agree that CanREA may capture photographs and videos that include their likeness during event activities. These images may be used by CanREA in various media, including but not limited to marketing materials, social media, online galleries, and CanREA’s website, for the purpose of promoting future events and initiatives. These images will not be used for any commercial purposes beyond the scope of CanREA’s activities. Please note that CanREA cannot control what event participants, exhibitors, sponsors, or partners post on their own social media channels.

Anti-trust guidelines
CanREA provides an opportunity for its members and any guests participating in any official CanREA meeting or event to convene and share non-competitively sensitive information in a manner that is consistent with the Competition Act in order to advance the responsible and sustainable deployment of wind energy, solar energy, and energy storage in Canada.

Contraventions of the Competition Act may occur even where there is no formal agreement between competitors, but an agreement can be inferred from anti-competitive behaviour including the sharing of competitively sensitive information. Examples of criminal anti-competitive behaviour include discussions related to price fixing, bid rigging, customer allocation, territorial market allocation, wage-fixing, or group boycotts.

A violation of these terms and conditions may result in CanREA’s revocation of the Participant’s rights and privileges including denial of access to events and removal from event premises.

Terms and Conditions

D.E. Systems' myConferenceSuite Registration System is responsible for personal information under its control. Collection of personal information by myConferenceSuite will be limited to what is necessary for the purposes of registration for the event.

When we use trusted third parties to act on our behalf by performing such functions as processing credit card payments, contractual or other appropriate means are used to ensure compliance by such third parties with this Policy and all applicable privacy laws.

Personal information will not be used or disclosed for purposes other than those for which it was collected, to process the registration data to a given event.

We will keep your personal information as accurate, complete and up-to-date as necessary for the purposes for which it is to be used.

The Policy is subject to PIPEDA and/or any other applicable privacy laws and myConferenceSuite reserves the right to change it at any time.
