Abstract Submission Format
The Ajmera Transplant Centre Transplant ID Symposium is accepting clinical, translational, and basic science abstract submissions relevant to solid organ transplant infectious diseases. All accepted abstracts will be presented as posters during the symposium. Abstracts from studies already published at the time of submission are not acceptable. Abstract submission deadline is July 15, 2023. Authors will be notified of abstract disposition by July 21, 2023. A $500 CAD travel stipend will be paid to all presenting authors following the conference. Abstract instructions are as below.
Title
Use a concise title that summarizes the content of the abstract. Capitalize the first letter of each word except prepositions, articles, and species names.
Key Words
List one to three keywords.
Authors
Enter complete author(s) names (example: John S. Doe, MD). Include the name, degree, institution, city, state and country of all authors and author groups.
Abstract Text /Figures
Describe the relevance of the research using the following headings: Background, Methods, Results and Conclusions.

Title and authors do not count in the character limit. Figures are accepted and they do not count towards the character limit. Acceptable file types for images are .gif, .jpg, and .png. Color images are allowed. Please provide high-resolution images.
Contact Information
Provide all pertinent contact information to ensure that correspondence is received promptly and accurately. You must specify one “presenting author.” Notifications will be sent to the presenting author only.
Changes/Modifications
Changes/modifications, including author and affiliation changes, are allowed for submitted abstracts until the abstract submission deadline, July 15, 2023. Changes to submitted abstracts will not be possible after the submission deadline. Authors will be notified by July 21, 2023.
The Ajmera Transplant Centre Transplant ID Symposium is accepting instructive clinical cases relevant to solid organ transplant infections. Cases should be submitted by trainees for presentation and discussion during the symposium. A travel stipend will be available for trainees whose cases are accepted for presentation. Case submission deadline is July 15, 2023 and presenters will be notified of disposition by July 23, 2023. Cases should be submitted as PowerPoint slides. See instructions for case submission below.
Case Submission Template for powerpoint:
- Cases can be diagnostic dilemmas or management issues.
- Please avoid the use of abbreviations.
- No more than 15 slides per case
- Selected cases will have 7 min for presentation and 8 min for discussion.
Each submitted case should include images that illustrate important teaching points related to infectious diseases in the following areas
- Donor transmission
- Fungal (e.g. Aspergillus, non-aspergillus molds, or yeast) and mycobacterial infections (TB, M. abcessus, MDR MAI)
- Viral infections (eg CMV, RSV, BK)
- MDR Bacterial infections
- Parasitic diseases
- Other clinical syndromes such as those mimicking infections
The cases should have the following headings:
- Brief history of the Present Illness: For example, “A 25-year-old male presented with...”
- Past Medical History including allergies (if relevant):
- Key Medications (if relevant):
- Epidemiological history (if relevant, such as habits, social and family history, animal exposures or travel):
- Physical Examination: General description, vital signs, and other relevant physical findings. Please refer to appropriate figures of physical findings if provided (Figure 1, Figure 2, etc.). Please avoid the use of abbreviations.
- Studies: Relevant laboratory findings (with units of measurement and normal reference ranges as these vary among institutions), radiology, etc. Please include pertinent positives and negatives. Refer to figures if appropriate.
- Clinical Course Prior to Diagnosis (if relevant): Note Figures if appropriate.

- Please identify as Figure 1, Figure 2 etc, and place the image(s) in the
- a. PowerPoint presentation being submitted. Please remove patient identifiers (name, medical records number, date, etc.) from each image to protect patient confidentiality.
- Below, please note the type of image (CT scan, MRI, radiograph, physical finding photo, laboratory slide which identifies the specific stain used, etc.) and the legend/findings to accompany the individual figures.
Privacy
The Privacy Rule allows a covered entity to de-identify data by removing all 18 elements that could be used to identify the individual or the individual's relatives, employers, or household members; these elements are enumerated in the Privacy Rule. The covered entity also must have no actual knowledge that the remaining information could be used alone or in combination with other information to identify the individual who is the subject of the information. Under this method, the identifiers that must be removed are the following:
- Names
- All geographic subdivisions smaller than a state, including street address, city, county, precinct,
ZIP Code, and their equivalent geographical codes, except for the initial three digits of a ZIP Code if, according to the current publicly available data from the Bureau of the Census:
- The geographic unit formed by combining all ZIP Codes with the same three initial digits contains more than 20,000 people.
- The initial three digits of a ZIP Code for all such geographic units containing 20,000 or fewer people are changed to 000.
- All elements of dates (except year) directly related to an individual, including birth date, admission date, discharge date, date of death; and all ages over 89 and all elements of dates (including year) indicative of such age, except that such ages and elements may be aggregated into a single category of age 90 or older.
- Telephone numbers.
- Facsimile numbers.
- Electronic mail addresses.
- Social security numbers.
- Medical record numbers.
- Health plan beneficiary numbers.
- Account numbers.
- Certificate/license numbers.
- Vehicle identifiers and serial numbers, including license plate numbers.
- Device identifiers and serial numbers.
- Web universal resource locators (URLs).
- Internet protocol (IP) address numbers.
- Biometric identifiers, including fingerprints and voiceprints.
- Full-face photographic images and any comparable images.
- Any other unique identifying number, characteristic, or code, unless otherwise permitted by the privacy Rule for re-identification.
