In registering for Sponsorships and Exhibition Spaces at the World Tunnel Congress 2026 (WTC2026), please be informed that your personal information will be processed in adherence to the applicable international and national laws. Your personal information will be used by the meeting organisers for administrational purposes in connection with the event. Please see JPdL’s Privacy Policy for further details.

The responsibility for the accuracy of the information provided rests with the individual registrants. Neither the organizers of WTC2026 nor the providers of the meeting software will assume liability for any errors or inaccuracies in the submitted information.

Exhibition General Terms & Conditions *Required

  • 50% of the total due will be invoiced upon confirmation (contract signing) – non-refundable
  • Balance the latest on 16 January 2026, against invoice.

NOTE
Any partnership/exhibition opportunity will only be reserved upon the payment of the required first deposit. Any late payment of the second installment that exceeds one week will be considered as an application for cancellation of the interested party for the selected partnership. Under such circumstances the cancellation policy will be activated by the organizers.

GENERAL PAYMENT CONDITIONS

  • All amounts and payments are in Canadian Dollar (CAD).
  • Exchange rates will be applied for international payments (your bank will apply the exchange rate in effect at the time of the transaction. Additional charges may apply for exchange services).
  • All Canadian companies soliciting partnership & exhibition prices are subject to QST (where applicable).
  • Bank charges are the responsibility of the payer.
  • Credit cards are accepted (Visa or MasterCard only).

Cancellation policy
Cancellations requests must be sent in writing to Partnership & Exhibition Management Team E-mail: exhibit.wtc2026@jpdl.com.

Cancellation charges will be as follows:

  • Cancellation request: Submitted the latest on 15 May 2025 (12 months before the Congress): 30% of the total cost will be charged as an administration fee.
  • Cancellation request: Submitted within the period 16 May 2025 and 15 January 2026 (4 months before the Congress): 75% of the total cost will be charged as an administration fee.
  • Cancellation request submitted after 16 January 2026: 100% of the amount due will be charged as an administration fee.

Depending on the amount of the administration fee that will be charged, as per the previous cancellation provisions, the issuance of an invoice may be deemed necessary in case any previous invoice does not cover the final amount due as a result of the cancellation. All invoices shall be paid within a week following the date of invoice issuance.

1. EXHIBITOR DIRECTORY
The information required to compile the Exhibitors directory will be furnished by the Exhibitor, in the extent of its responsibility thereof, in the time frame specified by the Management. The Management will in no case be held responsible for omissions, errors of typesetting, reproduction or other that might occur. The Management may refuse any addition or modification of wording which is not in accordance with the general guidelines or that which may cause prejudice to other exhibitors or to the Event itself.

2. ADVERTISING MATERIAL
Canvassing or distributing of advertising material by non-exhibiting commercial companies is strictly prohibited. Exhibitor advertising will not be permitted outside of the exhibitor’s assigned space.

3. DEMONSTRATIONS
Exhibitor demonstrations should not interfere with normal traffic flow nor infringe on neighboring exhibits. No demonstrations will be permitted outside of the exhibitor’s assigned space.

4. FACILITY REGULATIONS
Exhibitors are required to abide by all facility regulations in the design installation, operation and dismantlement of their exhibit stands. A complete description of electrical, fire, labor and property regulations will be listed in the Exhibitor Manual.

5. FOOD AND BEVERAGE DISTRIBUTION
Exhibitors wishing to dispense or serve any food or beverage from assigned exhibit space must notify Maestro Culinaire services – exclusive provider at the Palais des congrès de Montréal. Further information will be provided in the Exhibitor Manual.

6. LIABILITY
The Exhibitor agrees to hold the Management non-liable from any obligation in respect of damages, claims, judgments and legal fees arising out of any damage or loss of property, injury or death relating to the use of the rented space.

7. RELOCATION
The Exhibitor agrees that the Management has the right to rearrange the floor plan and relocate any booth. A relocation notice shall be given to the Exhibitor.

8. RESTRICTIONS OF EXHIBITS
The organizers reserve the right to; (a) reject for any reason any exhibit application submitted, (b) reject prohibit, restrict or otherwise require modification of any exhibit for any reason, and (c) evict any exhibitor whose exhibit, materials or conduct is determined to be objectionable for any reason. Violation of any employee or agents shall annul the right to occupy space and such exhibitor will forfeit to the secretariat all monies which may have been paid. Upon evidence of violation, the secretariat may enter and take possession of the space occupied by the exhibitor and may remove all person and goods at the exhibitor’s risk. The exhibitor shall pay all expenses and damages which the WTC2026 secretariat may thereby incur.

9. INSURANCE
The Exhibitor shall obtain the necessary insurance coverage against property loss or damage, personal injury and death, as well as any liability arising therefrom (minimum 2 million dollars). This insurance certificate must cover JPdL International and the Palais des congrès de Montréal.

10. EVENT CANCELLED
If the Event is cancelled for any reason beyond the control of the Management, the Management shall not be liable for any expenses incurred by the Exhibitor and shall have no other liability to the Exhibitor than the refund of that portion of the rent actually received.
