D.E. Systems' myConferenceSuite Registration System is responsible for personal information under its control. Collection of personal information by myConferenceSuite will be limited to what is necessary for the purposes of registration for the event.
When we use trusted third parties to act on our behalf by performing such functions as processing credit card payments, contractual or other appropriate means are used to ensure compliance by such third parties with this Policy and all applicable privacy laws.
Personal information will not be used or disclosed for purposes other than those for which it was collected, to process the registration data to a given event.
We will keep your personal information as accurate, complete and up-to-date as necessary for the purposes for which it is to be used.
The Policy is subject to PIPEDA and/or any other applicable privacy laws and myConferenceSuite reserves the right to change it at any time.

Cancellation prior to September 15 will incur a $50 processing charge per registrant,regardless of payment status. Telephone cancellation is not accepted; certified mail is recommended. When submitting a refund request, please include the name and Registration ID of each registrant, the name of the organization or person receiving the refund, and the mailing address for receiving the refund. Refund requests must be mailed to:
NAEHCY Conference Refunds, PO Box 26274, Minneapolis MN 55426. Refund requests are generally processed after the Conference using the same method of payment used for Registration.
Fees are nonrefundable after September 15, 2018. If you do not cancel your registration, and you do not attend the conference, you are still responsible for your registration fee.

The Hilton room rate is the PREVAILING GOVERNMENT PER DIEM. The per diem adjusts annually on October 1. The rate in effect at the time of your stay is the rate you will be charged. This could potentially be different than the rate in effect at the time you booked, it will be the Prevailing Government Per Diem. This rate is in effect for three days pre and post conference, and is in place until September 29 or when the room block fills, whichever comes first. When reserving your room, Hilton may require a deposit of your first night’s stay, which is refundable up to 72 hours in advance of the first night of your stay. Checks and credit cards are acceptable to establish prepayment, all credit cards used to prepay the room deposit will be charged immediately. If desired, you may provide a different credit card upon check in. Rooms booked and not used, and not cancelled, will incur a no-show charge equivalent to one night’s stay.
